Responsible party and contact

Joel Mark (Pty) Ltd is the responsible party for personal information received in a business enquiry or RFQ. Privacy questions, access requests and corrections can be sent to sales@joelmark.co.za.

What is collected and why

The RFQ interface asks for business contact details, company and sector information, technical or product requirements, delivery information and buyer-specific references. These categories are used to identify the buyer, assess the requirement, clarify the supply basis, prepare a quotation and manage related procurement communication.

How the email enquiry process works

• The RFQ form prepares an email in the visitor's own email application; opening the draft does not submit, send or deliver it.
• No form information or supporting file is uploaded to or stored by this website.
• As a fallback, the visitor can copy the recipient, subject and complete structured RFQ body, or copy only the JoelMark RFQ email address, into another email application.
• Supporting documents must be attached in the visitor's email application.
• Long specifications are intentionally not placed in the email link. The buyer must attach or paste the complete requirement before sending.
• The visitor must review the prepared email, add attachments and click Send. An email is not treated as received until it reaches the Joel Mark mailbox.

RFQ documents and recipients

Requisitions, specifications, drawings, photographs, BOQs, BOMs, tender returnables and similar records are handled as part of the email enquiry. Information may be accessed by personnel and service providers who need it to assess, quote, document or coordinate the requirement. Relevant technical, manufacturer, logistics or professional parties may receive only the information needed for that purpose. Joel Mark does not claim that ordinary email is risk-free, so buyers should not send unnecessary personal or highly sensitive information.

Service-provider and operator categories may include email and hosting providers, IT security or support providers, technical manufacturers or suppliers, logistics providers and professional advisers. Where a requirement needs cross-border technical, manufacturer or logistics input, necessary information may be disclosed or processed outside South Africa. The appropriate basis and safeguards for a specific cross-border disclosure must be confirmed before restricted or sensitive material is shared.

Do not submit another person's personal information unless you are authorised to do so, and remove personal information that is not necessary for the procurement requirement.

Retention and security

Enquiry and quotation records are retained only for as long as reasonably needed to respond, manage the commercial relationship, maintain required business records, resolve disputes or meet legal obligations. Records should then be deleted, de-identified or securely disposed of where appropriate. Reasonable access, account and device safeguards apply to information received by email, but no electronic transmission can be guaranteed completely secure. The applicable retention period can differ depending on whether the enquiry becomes a quotation, order, contract or regulated business record; a formal retention schedule requires legal review.

Measurement and source information

During the browser session, the site may retain the original landing path, current path, CTA source, capability, buyer route, approved UTM source, medium and campaign values, and the referring domain. It does not retain an arbitrary full query string or full referrer URL, and RFQ technical detail is not placed in analytics. These fields may be added to a browser data layer and to the prepared email source block. This code does not by itself confirm that an email was sent or received.

Your choices and rights

Subject to applicable law, a person may ask what personal information Joel Mark holds, request correction or deletion, object to certain processing, or ask for an explanation of how the information is used. A concern can first be raised through the contact above. Changes to this process
